1. Definitions

"We/us/our" refers to Throwback Cams. "You/client" refers to the person or party booking our services. "Kit" refers to camcorders and all accompanying equipment (batteries, SD cards, chargers, packaging, prompt cards).

2. Booking & Payment

• A booking is confirmed once your enquiry form is submitted, availability is confirmed, and your first payment is received.

• Bookings are allocated on a first-come, first-served basis. We are currently unable to hold a date without payment.

• 50% of your total (package price + Security Fee) is due at the time of booking. The remaining 50% is due 30 days before your event date.

• We will not dispatch any kit until both instalments have been received and cleared.

• If your booking is made within 30 days of your event, full payment is required at the time of booking.

3. The Security Fee

• The Security Fee is a fully refundable amount included in your total payment, separate from your package price.

• It protects against loss or damage to kit during your hire period and is not part of the cost of your package.

• If you return all kit complete and undamaged (normal wear excepted), and you have not cancelled your booking, we will refund the Security Fee in full within 30 working days of checking your kit upon its return.

• If any kit is lost or damaged beyond normal wear, the Security Fee becomes non-refundable.

4. Cancellations

• Cancellations made at least 60 days before your event date will receive a full refund of all payments made.

• Cancellations made less than 60 days before your event date forfeit any payments already made, including any portion of the Security Fee paid, as it becomes impractical for us to rebook your date at short notice.

• Cancellations must be confirmed in writing via email to hello.throwbackcams@gmail.com.

5. Packages & Pricing

• Our packages are: Cameras Only (kit hire + all raw footage), Cameras + Edit (kit hire + all raw footage + edited highlight video), Destination Event, and The Best of Both.

• Pricing is consistent across all event types (weddings, birthdays, hen/stag events, or otherwise) and depends solely on the package and hire length selected, not the occasion.

• Prices are correct at the time of booking and confirmed in writing before payment is taken.

6. Standard Hire Period & Multi-Day Events

• Our standard hire window covers 1–2 days, intended to comfortably cover a single event day with a reasonable delivery buffer either side.

• Events requiring a longer hire period will incur a small additional daily charge of £50, confirmed with you at the time of booking.

7. Destination Event Package

• Available for events taking place within Europe.

• Includes: two camcorders, up to two weeks' hire, extra batteries, a 32GB SD card per camera plus spares, prompt cards, and prepaid return packaging.

• Includes an edited highlight video and all raw footage.

• Price: £549. Refundable deposit: £200 (as defined in Section 3).

• Standard turnaround and editing terms (Sections 11–12) apply on the kit's return to us.

• It is your responsibility to ensure kit is transported securely and insured against loss during international travel where required by your own travel arrangements; our standard loss/damage terms (Section 9) continue to apply throughout.

8. The Best of Both Package

• Includes three camcorders, a Throwback Cams team member attending in person with one camera for the main event, an edited highlight video, all raw footage, extra batteries, a 32GB SD card per camera plus spares, and prompt cards.

• Two cameras are posted to you in advance, under the same terms as our standard packages, to capture any moments before our team member arrives. Our team member brings the third camera in person to cover the main event.

• Price: £949. Refundable deposit: £250 (as defined in Section 3).

• Travel is included free within 30 miles of our base in Exeter, Devon. Beyond this, travel is charged at 45p per mile each way, calculated from our base to your event address, and confirmed with you before booking. This package is currently available for events within the UK only.

• The two cameras posted in advance are covered under our standard kit terms (Section 9). The camera held by our team member throughout the event remains our responsibility.

9. Use of Cameras & Client Responsibility

• No filming experience is required; cameras are simple point-and-record devices.

• Once kit is delivered, you are responsible for its safekeeping until it is returned to us or collected, except where a Throwback Cams team member is personally holding a camera under Section 8.

• We recommend nominating one or two guests to help keep track of cameras throughout your event.

• Minor wear consistent with normal use is expected and will not affect your deposit refund.

10. Loss, Damage & Late Returns

• Significant damage or loss of any kit item will be assessed against the deposit as set out in Section 3.

• If kit is not returned within 7 days of your event, we reserve the right to treat it as lost and charge full replacement cost.

• Prepaid return packaging is provided; kit should be returned using this packaging to the address provided.

11. Footage & Ownership

• All raw footage captured is provided to you in full, regardless of which package you choose.

• You are free to use, edit, and share your raw footage and edited highlight video as you wish. Feel free to tag us at @throwbackcams!

• We reserve the right to use any footage from your event for our own portfolio, marketing, and promotional purposes, in any format we choose.

12. Editing & Turnaround

• Our standard turnaround for edited highlight videos is 4–7 weeks from the date we receive your kit back.

• Our standard edit style is a natural, fun highlight reel. Specific style, structure, or music requests can be discussed as a customised edit upgrade, priced separately.

• A rush turnaround service may be available on request for an additional fee.

13. Service Area

• We are based in Exeter, Devon, and post our standard and Best of Both packages to clients across the UK.

• Our Destination Event package covers events within Europe.

14. Liability

• While every care is taken to provide fully functioning equipment, we cannot guarantee against equipment failure during your event and accept no liability for footage not captured due to circumstances beyond our reasonable control.

• Our liability to you is limited to the value of the package booked.

15. Changes to These Terms

We may update these terms from time to time; the terms in force at the time of your booking will apply to that booking.
